Norfolk Makaton Tuition Data Protection

Norfolk Makaton Tuition collects some personal information from you during the booking process.

This document will explain why we ask for that information, how we use, manage and protect that information and your rights relating to that information.

What personal data do we hold?

On our booking form we ask for the following information:

Where did we collect your data from?

When you complete the booking form and when you initially email Norfolk Makaton Tuition.

What is the legal basis and purpose for our holding your personal data?

The personal data we hold and process is necessary for Norfolk Makaton Tuition to complete your booking and give you any further details about the course you have booked.

What we do with your personal information?

Norfolk Makaton Tuition use your information to contact you about the course you have booked, and to invoice you for the course place.

Norfolk Makaton Tuition also use the information to contact you after the course for information about the course you attended, and we use it to contact you about future courses.

Who else do we give access to your information and why?

Norfolk Makaton Tuition will pass details of any courses you complete to the Makaton Charity should they need to check the Makaton levels you have successfully completed.

 

The Makaton charity is the only organisation we will share your information with.  However, we will contact you before we pass the information to them to gain your permission to do so.

How do we protect your information?

Norfolk Makaton Tuition save your information on Microsoft OneDrive. A paper copy of your details and any courses taken are stored in a file in a locked cupboard for 10 years. 

Norfolk Makaton Tuition use security software to protect your information. How long do we keep your personal data?

We will retain your information for 10 years in case you need us to prove that you have completed the course.

What are your personal data rights?

If at any point you believe the personal information we hold on you is incorrect, you want us to correct or delete that information, or you no longer want us to hold that information or contact you, you can exercise your rights under Data Protection Laws.

These rights include:

Right to rectification

Right to erasure

Right to restriction of processing

Right to data portability

Right to object​

Please note, we will not be able to delete information that is required to maintain our business purpose.

How we protect your information?

We take our obligations under the General Data Protection Regulation very seriously. The

information you provide will be subject to rigorous measures and procedures to make sure it can’t be seen, accessed or disclosed to anyone who shouldn’t see it.

If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you can complain to the Information Commissioner’s Office (ICO). Their Helpdesk number is 0303 123 1113

Norfolk Makaton Tuition  

Booking & cancellation policy

The person who completes the booking form/email is the client and is therefore subject to the booking cancellation policy for individual participation.

​

Contact details on the form/email must be for the individual who is attending the course. By completing and submitting the booking form, the clients agree to the dates and times booked.

In case of invoicing an organisation, once a booking form has been completed you are obligated to transfer Norfolk Makaton Tuition invoice to your administrator and secure prompt payment.  Norfolk Makaton Tuition will confirm your place on the course once the payment has cleared if the course is not full. Payments by cheque will be dated at the time of clearing within Norfolk Makaton Tuition account.

If on receipt of payment the course has become fully booked, the client will be offered a full refund or alternative dates the the cancellation charges will not apply.

All invoices are payable without any discount or payment plans of any kind unless agreed in writing.

Norfolk Makaton Tuition reserves the right to cancel or postpone the course at short notice, in the case of Norfolk Makaton Tuition cancelling the course the client will be offered an alternative course or a full refund.

Norfolk Makaton Tuition cannot be held liable for any costs the client may incur in arranging travel and/or accommodation in relation to the course should the course be cancelled or postponed.

In the event of the client wishing to cancel a booking, they are subject to the following charges plus any costs already incurred by Norfolk Makaton Tuition:

100% course fee of the client cancels 0 to 13 calendar days prior to commencement of the course

50% course fee if the client cancels 14 to 29 calendar days prior to commencement of the course

Full refund if the client cancels 30 or more calendar days prior to commencement of the course

In the case of costs being incurred by Norfolk Makaton Tuition (manuals/printing) and retained at the point of cancellation, Norfolk Makaton Tuition will produce copies of any documentation and receipts and make them available to the client.

Cancellations must be received in writing (email/text/letter) and Norfolk Makaton Tuition will accept the cancellation based on the date it is received.

Should the client wish to transfer onto an alternative course date, the request must be put in writing and must be made at least 30 days prior to commencement of the course.  Norfolk Makaton Tuition will try to accommodate the request where possible. Only one transfer request per person will be received.

Should the client suffer illness on the day of the course they must contact the trainer via text or email on or before the training day.

Norfolk Makaton Tuition are under no obligation to provide you with an alternative date, as sickness is classed as cancellation on day and therefore subject to 100% course fee costs.  However, if we have spaces on another course, Norfolk Makaton Tuition will try and offer an alternative date.  These will be offered on the basis of spaces available and may not include some of our popular dates, or your preferred venue.

Any alternative date Norfolk Makaton Tuition offers does not reinstate the above cancellation terms. Cancellation is based on the original course date and therefore if you are unable to attend your alternative date for any reason you will not be entitled to a refund.

Where Norfolk Makaton Tuition can offer alternative dates, they will only do so for 1 year after the original date of the course.  If in that time you do not find a suitable date, or you do not attend your agreed course, you will not be offered an alternative.

Norfolk Makaton Tuition reserves the right to change the Booking and cancelation policy.

Online Training

The above conditions will also count for all online training booked.  Refunds cannot be given for any “technical” issues the customer may have on the day of booked training.
